An invoice reminder is only useful if it reaches the right person, at the right time, about a balance that still exists. The real buying decision is not whether a product can send email—it is whether reminders, settlements and customer communication stay in sync.

Build a reminder schedule that customers can trust
Confirm the invoice arrived
A short, neutral message a few days before the deadline should repeat the invoice reference, due date, open amount and working payment link. For a large client, confirm their accounts-payable contact.
Keep it factual
Check for payments, credits, disputes and approved extensions before triggering the next notice. Never automatically describe an invoice as overdue merely because a scheduled date has passed.
Escalate clearly—not aggressively
If the balance remains open, restate the terms and ask for confirmation of payment timing. Route replies or disputes to a real person instead of repeatedly sending the same template.
Stop the sequence
Mark paid, apply credit or record the agreed extension. The strongest systems suppress the next reminder and keep an understandable activity history.
The test case that reveals automation gaps
Use a sample $1,000 service invoice due on the 15th. Schedule a courtesy message before the due date. Then record a $400 partial payment, move the due date with client approval, and add a $100 credit. The next reminder should make the remaining balance and revised terms unambiguous—without claiming the original $1,000 remains payable.
- Trigger: choose a status-based rule rather than a calendar-only blast.
- Recipient: test the billing contact, CC rules and any client portal notification.
- Payment state: enter a partial payment before the scheduled message and inspect the updated amount.
- Exception: mark the invoice disputed or extend the deadline; verify the automation pauses appropriately.
- Evidence: confirm the activity log records the send attempt, reply and eventual settlement.
Which platform should you choose?
For automatic reminder sequences: Invoice Ninja
Invoice Ninja’s current feature pages describe auto payment reminder sequences. Its free hosted offering covers up to five clients, while the one-user Pro plan is listed at $14/month. Verify exactly which reminder settings your chosen plan unlocks before paying.
Review Invoice Ninja →For assisted billing and visibility: BillingNow
BillingNow’s published materials cover overdue filtering, payment history, timeline information and suggested billing follow-up. It advertises a $9.99/month plan. Do not infer hands-free reminder scheduling from these features; ask for a demo if that is essential.
Review BillingNow →Templates: what should a reminder actually say?
Subject: Invoice [number] — due [date]
Hello [name], our records show invoice [number] has a remaining balance of [amount], due [date]. You can review the invoice and payment options at [verified link]. If you have already paid or need a correction, reply to this message and we will review it. Thank you.
For a later follow-up, add the agreed terms and a specific reply request. Avoid threatening language, speculative late fees or claims about credit reporting without an applicable agreement and legal review.
Important integrations and setup costs
A reminder feature can be inexpensive while your overall collection workflow is not. Check whether card or ACH processing has separate fees, whether automatic reminder sequences depend on a particular tier, whether you can use your own email domain, and whether email replies reach your actual billing team. Test deliverability with a real inbox and verify a payment-link expiration scenario.
Invoice reminder FAQ
Should reminders go out before or after an invoice is due?
Either can be appropriate. A courtesy reminder before the due date is different from an overdue notice. Your contract, client preference and invoice status should determine the schedule.
Can invoice reminder software replace collections?
No. Automated follow-ups are useful for routine communication, but disputed invoices and serious nonpayment typically require individualized human decisions.
What is the single most important feature?
Payment-aware suppression. A tool that continues emailing a paid customer undermines trust, even if every message is beautifully designed.
